How to Build a Corrective Facial Series With Circadia Treatments, and Keep Clients Booked

A corrective facial series is how many Circadia-trained estheticians work on goals like pigmentation, texture and early aging: a sequence of Signature Facials and professional peels, planned around the client's skin and adjusted at each visit. The trouble is that most booking tools see one appointment at a time, so the series only exists in your head. This guide shows you how to run it as one plan with esthetician software built for treatment series, from the skin analysis to maintenance.

Why corrective series stall after the second visit

Circadia's approach is built on the skin's daily rhythm: defending by day, repairing by night. Your clients learn that at the skin analysis, and most of them leave the first facial excited. The series breaks later, quietly.

She skips a peel because the week got busy. You find out at her next facial, if she books one. By then the gap is eight weeks instead of four, and the progress you planned for has stalled.

Say your series is a $150 skin analysis, three Signature Facials at $165 and two professional peels at $185, sold as one $1,015 program. A client who stops after the first facial leaves $700 of the series unbooked. Two of those a month is $16,800 a year, before post-care products.

The fix isn't more reminders. It's a series that exists somewhere other than your head. Our guide to goal-based treatment programs covers how to frame the series around her goal; here we focus on running it.

Build your corrective facial series as a treatment plan

Circadia publishes treatments and protocols, but your series (how many visits, which facial when, how far apart) is yours. That's exactly what a treatment plan holds.

What goes in a Circadia series plan

  • The skin analysis to start
  • Your Signature Facials and professional peels, in order. In our demo plan, a Radiance Elevation Signature Facial alternates with an Advanced Pigment Renewal Therapy
  • The spacing you use. Our demo uses four weeks, but the interval is your clinical call
  • A maintenance visit two months after the last treatment
  • One price for the series, with a deposit or payment in full
SpaSphere treatment plan builder, step 1: Name the series your clients know
See it for Circadia

In SpaSphere this is the Treatment Plans builder. Name the series the way your clients know it, add the visits, set the spacing and the price. Every client you enroll starts from the same plan, and you can still adjust it for her skin. Acne Experts use the same structure to run an Acne Bootcamp, and peel specialists for a progressive peel series.

Name the plan after the result, not the products. "Brightening Series" sells at the consultation. "3x Facial + 2x Peel" doesn't.

Facial series pricing

One price for the whole series means she decides once, at the consultation, instead of at every visit. Let her pay in full or put down a deposit. Her portal shows what's paid and what's left, so nobody has an awkward conversation at checkout. For framing the number, see anchor pricing for spa services.

Your Circadia protocols, step by step in the room

A Signature Facial has a lot of moving parts: the cleanse, the peel layers, the masks, the add-ons, the finish. On a laminated card, the add-ons are the first thing to go when you're running behind.

Write each protocol once

Start from the pigmentation and rejuvenation protocols in the library, or write your own: your Signature Facial steps, the peel layers, the add-ons, with timing, products and the reasons not to treat. Attach the protocol to the service.

Run it in the room

When she's on the bed, the protocol opens step by step with timers. When you finish, her treatment note is already started from what you did. That's the record you'll want at visit four, when you're deciding whether to move up the peel.

Post-care regimens she can actually find

Circadia's home care is split into morning and night, which is exactly what clients mix up. A printout lasts until the first time she cleans her bathroom counter.

Set the post-care products and instructions on the protocol, morning and night. After each visit they're in her treatment note, and in the home routine of her skin assessment in her portal. The regimen she follows is the one you prescribed, every time she checks.

Facial series follow-up that books the next visit

She sees the whole series

Her client portal shows the series: the visit she's on, what's paid and a Book button for the next one. It opens in any browser from your booking site, no app to download.

A workflow keeps her on your spacing

SpaSphere Workflows are follow-ups you set up once and reuse for every client in the series:

  1. Her Signature Facial is done. The plan opens the peel in four weeks.
  2. When the peel is ready to book, the workflow emails her the booking link, in your words.
  3. If she books, it stops.
  4. If she hasn't booked after three days, it texts her the same link, only if she has agreed to texts.
  5. Every visit repeats the same rhythm, through to maintenance.

That's the difference between a series she finishes and a series she forgets. More on why clients drift in why clients don't rebook.

Example: Priya's Brightening Series in Scottsdale

Priya is a Circadia-trained esthetician in Scottsdale. Her Brightening Series is a $150 skin analysis, three Signature Facials at $165 and two professional peels at $185, sold as one $1,015 program.

Before: she sold ten series a quarter, but booked visit by visit. Four clients stopped after the first facial.

  • Completed: 6 × $1,015 = $6,090
  • Stopped early: 4 × ($150 + $165) = $1,260
  • Quarter total: $7,350

After: one plan, her protocols and one workflow. Say eight finish and two still stop early.

  • Completed: 8 × $1,015 = $8,120
  • Stopped early: 2 × $315 = $630
  • Quarter total: $8,750

That's $1,400 more a quarter from the same ten consultations, plus the maintenance clients and post-care reorders that come with finished series. It's a worked example. Your numbers will depend on your menu and your clients.

Common mistakes with corrective facial series

  1. Selling visits instead of the series. If every visit is a new decision, some clients will decide no.
  2. Leaving the spacing to the client. "Book in about a month" becomes two. Put the spacing in the plan.
  3. Skipping protocol add-ons when you're busy. Written step by step with timers, they stay in.
  4. Morning and night routines on one sheet. Give her the regimen where she'll look: her phone.
  5. No maintenance visit at the end. The series ends and so does the relationship. Add maintenance to the plan from the start.

How to set up a Circadia facial series in SpaSphere

  1. Create your services: the skin analysis, each Signature Facial and peel you use, and a maintenance facial.
  2. Write your protocols, or start from a pigmentation or rejuvenation protocol in the library, and attach each to its service with the post-care regimen.
  3. Build the treatment plan: visits in order, your spacing, maintenance at the end, one price.
  4. Set up one workflow that emails the booking link when the next visit is ready, and texts after three days only if she hasn't booked and agreed to texts.
  5. Enroll your next skin analysis client and take the deposit or the full price.
  6. Review the plan weekly to see who's on which visit and who hasn't booked.

FAQ

Q: How many facials are in a corrective facial series? A: It depends on the skin and your training. Many estheticians build three to six treatments plus a maintenance visit. Put your own sequence in the plan and adjust it per client.

Q: How far apart should Circadia facials be in a series? A: That's your clinical call based on your training and her skin. Set the interval once in the treatment plan, and each next visit opens on that spacing.

Q: Can I add protocol add-ons to a visit in the series? A: Yes. Write the add-on steps into the protocol for that service, and they open in the room with the rest of the treatment.

Q: Is SpaSphere affiliated with Circadia? A: No. SpaSphere is independent esthetician software. You bring your training and your products; SpaSphere gives them a place to work.

Q: Where does my client see her post-care regimen? A: In her treatment note after each visit, and in the home routine of her skin assessment in her client portal, morning and night.

Q: How much does SpaSphere cost? A: Thirty days for $1. After that, SpaSphere Pro is $139 a month for one complete plan with four team members included.
