The difference

There are two ways to run a practice.

One sells a single visit and hopes for the next. The other sells a course of care your client has already committed to.

Single-appointment practice

Every visit starts from zero.

  • Sell services one appointment at a time
  • Hope clients remember when to come back
  • Keep forms, notes, follow-ups, and retail in separate places

Treatment-journey practice

Each visit has a clear next step.

  • Give clients a treatment plan they can understand and commit to
  • See which clients are due to return or need a follow-up
  • Keep the care record, plan, payments, and booking connected

How it works

From a great appointment to a committed next step.

The product has to make the shift practical, not just sound good in a headline.

01

Capture the care

Keep forms, photos, assessments, SOAP notes, and history in one client record.

02

Give it a path

Build a treatment plan around her goals, so the recommendation has a sequence she can see and follow.

03

Know the next move

Her plan and history make the next appointment, follow-up, and progress check obvious.

Sophie

Know who needs you next.

A plan only works if someone is watching it. Sophie reads your bookings and client records and tells you where your attention is worth most: who is due back, who has gone quiet, what to prepare before the next client walks in. She writes the first draft in your own voice. You decide what actually gets sent. See what Sophie does.

Making the move

Switching is the part we handle.

Moving years of client history is the reason most people put this off. It is also the part you do not do.

Your clients come with you

We migrate your client contact lists, recreate your consent forms, and set up your service menu. Concierge onboarding is included in the plan, not sold as an add-on.

Live in a day, not a quarter

Configuring your account takes under 10 minutes, and your booking site can be live within 24 hours.

You are never locked in

No contracts. We send a reminder before billing starts, and you can cancel anytime from your dashboard.

What estheticians say

I built my entire website myself with very little tech experience, and it actually feels aligned with how I work.

About SpaSphere

What SpaSphere is, in one paragraph.

SpaSphere is a spa management platform built specifically for solo estheticians and boutique skincare studios. The product is centered on treatment plans - structured, multi-session skin protocols sold upfront - and includes online booking, branded websites on your own domain, skin SOAP notes, AI-driven rebooking, retail commerce, and integrated payments. SpaSphere is sold at a flat $139/mo (after a 30-day $1 trial), with white-glove migration and onboarding included. SpaSphere is not a marketplace, charges no commission on bookings, and is not built for multi-location chains or medspas with multi-provider workflows.

Questions? We've got answers.

Is SpaSphere really built for solo estheticians, or for multi-location spas?
SpaSphere is built for solo estheticians and boutique skincare studios - one practitioner, one room, or a very small team. Most other spa platforms (Boulevard, Mangomint, Zenoti) are built for multi-staff salons or chains, and treat solo practitioners as a downgrade tier. SpaSphere is the opposite: solo is the default. The workflows, pricing, and product design all assume a one-esthetician practice. If you run five locations with shared staff and a centralized front desk, SpaSphere is not the right fit - and we'll say so on a 15-minute call.
How much more revenue can I really make with SpaSphere?
Most estheticians on SpaSphere sell three to five treatment plans per month at an average value of $1,500 - about $4,500 to $7,500 of newly committed revenue from a $139/mo investment. That's before retail, recovered no-shows, and improved retention. One treatment plan sale per month covers the SpaSphere subscription roughly 10 times over. The $1 trial lets you see your own numbers within 30 days - we don't ask you to take this on faith.
What happens to my clients during the switch?
Most clients don't notice. Our onboarding team migrates your client records, services, pricing, intake forms, and appointment history within 24 hours - and your existing booking link redirects to your new branded SpaSphere site, so clients who saved your URL still reach you. You don't need to ask clients to sign up again, re-enter their info, or learn a new app. Migration is included at no extra cost on every plan, and we don't charge for the first month while you're still verifying everything looks right.
Do I need to be tech-savvy to set this up?
No. The setup is built around four short questions: what services do you offer, what do you charge, how long does each take, and what's your cancellation policy. Treatment plans are configured the same way - combine existing services into a protocol, set the session count and spacing, set a plan price, done. SpaSphere handles the rest: auto-scheduling between sessions, payment collection upfront, progress tracking, and follow-up communications. If you've ever made an online booking yourself, you have the skills to set this up.
How long does it take to switch from Vagaro, GlossGenius, or Mangomint?
Most estheticians are fully live within 24 hours. Our onboarding team handles the full migration - your client records, service menu, pricing, intake forms, and appointment history are imported automatically. You don't need to export, format, or upload anything yourself. We also configure your branded booking site, set up payments through Stripe, and walk you through the first week of operations on a 30-minute video call. White-glove onboarding is included on every plan at no extra cost.
What happens after the $1 trial ends?
After your 30-day $1 trial, your subscription continues at $139/month - every core feature included, no tiers, no feature gates. There are no contracts; you can cancel anytime from your dashboard with one click. We send a reminder email three days before billing starts, so you'll never be surprised. SpaSphere also offers a 30-day money-back guarantee on the first month of paid service - if it isn't working for you, we refund the $139 and help you migrate to another platform.
Does SpaSphere include AI tools for rebooking and retention?
Yes. SpaSphere Intelligence (Sophie) analyzes each client's visit history and automatically surfaces who's due for a rebooking, who's at risk of drifting away, and what add-on services would fit their treatment pattern. Sophie suggests the message; you approve and send. There are no per-message fees, no usage caps, and no AI tier - all retention features are included in the $139/mo flat fee. The AI is designed to feel like a quiet assistant, not a marketing tool that bothers your clients.
Is SpaSphere secure for storing client records and payments?
Yes. SpaSphere uses bank-level 256-bit encryption at rest and in transit, role-based access controls on every client record, and complete audit logs of who viewed or changed what. All payments are processed through Stripe with PCI-DSS Level 1 compliance - SpaSphere never stores your clients' card numbers directly. Client records, SOAP notes, and progress photos are stored on AWS in encrypted buckets with restricted access. If you're working under HIPAA-adjacent requirements, we can walk through our security posture on a 20-minute call.
