Example workflow: Turning one-off facials into a treatment plan

A step-by-step scenario for packaging an acne correction series so clients know what comes next.

The situation

Assumed practice: Acne-focused facial practice

Say you specialize in acne correction. Clients come in for a single facial, see some improvement, and then you don't hear from them for months. You send follow-up texts by hand, and when a client does come back, your notes from her last visit are scattered or missing.

In this example, you want two things: a clear series your client can commit to, and a record of every session so you never start from scratch.

The steps in SpaSphere

  1. Build the plan

    In Offerings > Treatment Plans, click Add Treatment Plan. Drag your acne facial into Plan Steps once per session, for example six times, and set a two-week Wait between steps so the next session can't be booked too soon.

  2. Name it and set the price

    Enter a plan name and description, or click Generate with Sophie for a starting draft you edit. Under Payment Settings, set a custom bundle price or a discount, and turn on Allow deposit-based booking if you want your client to start with a deposit and pay the rest later.

  3. Publish and enroll

    Turn on Published. At your client's next visit, sell the plan from the Treatment Plans tab at checkout, or enroll her from her profile. SpaSphere sends her a welcome email when she's enrolled.

  4. Document every session

    After each visit, write a SOAP note on her profile. Use Prefill from the last visit so repeat notes take less typing, and optionally send her a visit summary email when you save.

  5. Book and complete each step

    When you book her next appointment, check Use plan step to link it to the plan. At checkout, apply Treatment Plan Credit. Once the wait time passes, SpaSphere emails her a Your Next Session is Ready! reminder, and she can follow her progress on the Care screen of your client portal.

What to notice

  • A treatment plan turns a recommendation into a defined series your client can see and commit to.
  • Wait times between steps keep sessions properly spaced without you tracking them by memory.
  • SOAP notes on each visit give you continuity when a client returns.
  • Next-session reminder emails go out automatically, so you are not sending follow-ups by hand.
