Example workflow: From skin assessment to a phased treatment plan
A step-by-step scenario for giving a client a written plan at her first visit and a clear path through the full course.

The situation
Assumed practice: Acne treatment practice
Imagine clients often stop booking after two or three sessions, once they see early improvement and before the work is done. You explain why follow-up matters, but a verbal recommendation is easy to forget once she leaves.
In this example, you give her something written at the consultation and a structured series to follow.
The steps in SpaSphere
Assess her skin
Open her profile, click More > Skin Assessments, and Start Assessment. Record her skin type and Fitzpatrick type, prioritize her concerns, rate barrier, sensitivity, and hydration, and note specific conditions with severity.
Attach a treatment plan
Build a treatment plan in phases, for example barrier repair for sessions 1 and 2, targeted treatment for 3 to 5, and maintenance planning for session 6. In the assessment's recommendations step, choose that plan, pick recommended services, and set a follow-up timeline.
Build her home routine and share the plan
Start from a routine preset or from scratch and link products from your inventory to her morning and evening steps. Click Generate with Sophie to draft the skin plan, read and edit it, then share it by email and link before she leaves. It also appears in her client portal while the link is live.
Enroll and collect payment
Sell the plan at checkout for the full price, or allow deposit-based booking so she can start with a deposit. SpaSphere tracks what's paid and what's left, and she can see it on the Care screen of her portal.
Track each session
Link each appointment to a plan step, write a SOAP note after every visit, and click Complete on each step. At the final session, you can offer a membership for ongoing maintenance.
What to notice
- A written skin plan gives your client something to reopen at home after the consultation.
- Phases with clear goals explain why each session in the series matters.
- Deposit-based booking lets a client start the plan without paying in full on day one.
- SOAP notes and step completion give you and your client one record of the whole course.
