How to Manage Client Reviews in SpaSphere
Collect client reviews after appointments, display them on your website, and route happy clients to Google Reviews.
3 min read
Client reviews are the most powerful trust signal for your spa. 93% of consumers read online reviews before booking a service, and businesses with 4+ star ratings earn 28% more revenue. SpaSphere automates the entire review cycle: request reviews after appointments, collect feedback, route happy clients to Google, and display testimonials on your website.
Why This Matters for Your Spa
A steady stream of positive reviews improves your Google ranking, builds social proof on your website, and gives you early warning of service issues. Spas that send automated review requests after appointments collect 5-10x more reviews than those that rely on clients to review unprompted.
Key Capabilities
- Automatic review request emails after completed appointments
- Smart routing: high ratings prompted to leave Google reviews, low ratings offered direct contact
- Manual review creation from the admin dashboard
- Publish/archive reviews for your public website widget
- Review analytics: rating distribution, volume trends
- Configurable delay, frequency caps, and minimum rating thresholds
- Review display on your public website (when enabled)
Configuring Review Settings
Open review settings
Navigate to Marketing > Reviews and click the Settings tab.
Enable automatic review requests
Toggle Review Emails on. Configure:
- Delay -- hours after appointment completion before sending the request (default: 24 hours)
- Minimum Rating for Google -- clients rating this or above are prompted to leave a Google review (default: 4 stars)
- Frequency -- minimum days between review requests per client (default: 60 days)
Add your Google Review URL
Paste your Google Business Profile review link. Clients who rate 4+ stars will see a prompt to leave a review on Google.
Frequency caps prevent spam
The frequency setting ensures a client won't receive another review request within the configured number of days, even if they complete multiple appointments. This protects your relationship with regular clients.
Viewing and Managing Reviews
The Marketing > Reviews page shows:
- Review stats -- total reviews, average rating, and rating distribution
- Reviews table -- each review shows client name, rating, text, service, provider, status, and date
- Actions -- publish a review to show it on your website, archive it to hide it, or send a manual review request for any completed appointment
