How to export your clients from Square Appointments

Your Square Appointments clients live in the Square Customer Directory, so that's where the export is. It's on the web dashboard only — not in the app.

Step by step

Exporting from Square Appointments

    Open your Customer Directory

    Sign in to Square Dashboard and go to Customers, then Customer directory, then Directory. Clients who booked through Square Appointments are already here.

    Customers → Customer directory → Directory

    This is on the web dashboard only — there's no export in the Square POS or Appointments app.

    Start the export

    Click Import/Export, then Export customers.

    Choose who to include, then export

    Choose All Customers rather than Specific Groups, then click Export.

    Download the file

    Once the CSV is prepared, click Download.

    Export your appointment history separately

    If you want your booking history too, go to Appointments (or Payments → Appointments), click Settings, then History, then Export to download a second CSV.

What comes with your export

Square Appointments doesn’t publish a list of the columns in this export, so we won’t guess at it. Open the file once you’ve downloaded it and you’ll see exactly what you have.

What may not come across

  • Appointment history — that's the separate export in the last step.
  • Saved payment cards. Square can move these directly to another PCI-compliant processor, but only by phone and only between processors — they never appear in your CSV.

Saved payment cards

Saved payment cards never transfer through a client export — at any platform. Card details are held by payment processors under PCI rules, not in your client list. Clients add a card again on their first visit.

Who can run this export

Square doesn't publish which permission set is required for the export specifically. If you're the account owner you'll have it; team members may not.

Before you upload

  • Open the file and check which columns you actually got — Square doesn't publish the export's column list, so it's worth a look before you upload.
  • Check that each client has either an email or a phone number — rows with neither can't be imported.

Last step

Importing into SpaSphere

  1. 1

    Open the importer

    In SpaSphere, go to Settings → Import & Export and choose to import clients.

    Upload your file

    Select the file you exported. SpaSphere reads the column headers and matches them to the right fields automatically.

  3. 3

    Check the column matching

    You'll see how each column was matched before anything is saved. Adjust any that look wrong, then confirm.

You don't need to rename columns before uploading. SpaSphere recognises the common variations — "Mobile Phone", "Cell", "Phone Number" all map to the same field — and shows you the matches before importing.
