Import your clients from a spreadsheet

Already keep your clients in Excel, Numbers, Google Sheets, your phone contacts, or a notebook? You only need two things per client to get started.

Before you start

What you’ll need

  • Your client list, wherever it currently lives
  • A spreadsheet app — Excel, Numbers or Google Sheets
  • About fifteen minutes

Step by step

Getting your file ready

  1. 1

    Put each client on their own row

    One client per row, with a header row at the top naming each column. If you're working from paper or your phone contacts, this is the part that takes the time.

    Name your columns

    At minimum you need a first name column, and either an email or a phone column. Add last name, birthday, address or notes if you have them.

    Name them however feels natural — "Mobile", "Cell" and "Phone Number" are all recognised.

    Split full names into two columns

    If you have a single column with full names in it, split it into First Name and Last Name.

    In Google Sheets: select the column, then Data → Split text to columns → Space.

  4. 4

    Save it as a CSV

    Use File → Save as (or Download as) and choose CSV. That's the format to upload.

What comes with your export

  • First name (required)
  • Email or phone (at least one required)
  • Last name
  • Birthday
  • Address, city, state, zip
  • Notes
  • Email and SMS marketing consent

Saved payment cards

Saved payment cards never transfer through a client export — at any platform. Card details are held by payment processors under PCI rules, not in your client list. Clients add a card again on their first visit.

Who can run this export

Anyone — it's your own file. You'll need owner or manager access in SpaSphere to run the import.

Before you upload

  • Check that every row has a first name.
  • Check that every row has an email address or a phone number.
  • Remove any summary or total rows at the bottom of the sheet.

Last step

Importing into SpaSphere

  1. 1

    Open the importer

    In SpaSphere, go to Settings → Import & Export and choose to import clients.

  2. 2

    Upload your file

    Select the file you exported. SpaSphere reads the column headers and matches them to the right fields automatically.

  3. 3

    Check the column matching

    You'll see how each column was matched before anything is saved. Adjust any that look wrong, then confirm.

You don't need to rename columns before uploading. SpaSphere recognises the common variations — "Mobile Phone", "Cell", "Phone Number" all map to the same field — and shows you the matches before importing.
