How to export your clients from PocketSuite

PocketSuite doesn't have a dedicated client export. Client details come out inside a transaction export, which means there's one thing you need to check before trusting the file.

Before you start

What you’ll need

  • Your PocketSuite login
  • Access to the email address on your PocketSuite account
  • About ten minutes, plus time for the email to arrive

Step by step

Exporting from PocketSuite

  1. 1

    Open Data Sync

    In PocketSuite, go to Settings, then Help & Admin, then Data Sync to reach the transaction export.

    Settings → Help & Admin → Data Sync

    This is documented as an in-app flow on your phone.

    Choose the widest time period

    Pick the longest time period available. The export is built around transactions, so a short window means fewer clients.

    Save and wait for the email

    Tap SAVE to export. PocketSuite emails the CSV reports to the address on your account rather than downloading them directly.

  4. 4

    Check that everyone is there

    Compare the number of clients in the file against your client list in the app. Because the export is built from transactions, clients who never booked or paid in the period you chose may be missing entirely.

    If people are missing, email PocketSuite support and ask for a full client export.

Does the export include every client?

PocketSuite's export is scoped by time period and built from transaction history, and its documentation doesn't say whether clients with no transactions are included. Check the file against your client list, and ask PocketSuite support for a full export if anyone is missing.

What comes with your export

PocketSuite doesn’t publish a list of the columns in this export, so we won’t guess at it. Open the file once you’ve downloaded it and you’ll see exactly what you have.

What may not come across

  • Clients with no transactions in the period you selected — this is the main thing to check.

Saved payment cards

Saved payment cards never transfer through a client export — at any platform. Card details are held by payment processors under PCI rules, not in your client list. Clients add a card again on their first visit.

Who can run this export

PocketSuite doesn't document a role requirement for this export. If you don't see Data Sync, contact their support.

Before you upload

  • Confirm the client count matches what you see in PocketSuite.
  • The export bundles payments, invoices and appointments alongside client details — you'll want just the client rows and columns for the import.
  • Check that each client has either an email or a phone number — rows with neither can't be imported.

Last step

Importing into SpaSphere

  1. 1

    Open the importer

    In SpaSphere, go to Settings → Import & Export and choose to import clients.

    Upload your file

    Select the file you exported. SpaSphere reads the column headers and matches them to the right fields automatically.

  3. 3

    Check the column matching

    You'll see how each column was matched before anything is saved. Adjust any that look wrong, then confirm.

You don't need to rename columns before uploading. SpaSphere recognises the common variations — "Mobile Phone", "Cell", "Phone Number" all map to the same field — and shows you the matches before importing.
