How to export your clients from Fresha

Fresha exports your client list from the Clients page, on desktop or mobile. Here's where to find it, what the file contains, and how to bring it into SpaSphere.

Step by step

Exporting from Fresha

  1. 1

    Merge any duplicate clients first

    Fresha flags duplicate profiles at the top of your client list. Clear those before exporting so you don't carry duplicates into your new system.

    Fresha recommends this itself — look for Review & merge above the list.

    Open your client list

    On desktop, go to Clients in the main left menu, then select Clients list.

    Export it

    Click Options in the top right, then choose your format. Pick CSV.

    On mobile: tap the Clients icon, then Actions (the three-dot menu, top right).

What comes with your export

  • First name
  • Last name
  • Email
  • Mobile phone
  • Gender
  • Birthday
  • Client notes
  • Accepts marketing
  • Accepts SMS marketing

What may not come across

  • Appointment history — that's a separate export under Sales → Appointments.
  • Saved payment cards (see below).

Saved payment cards

Saved payment cards never transfer through a client export — at any platform. Card details are held by payment processors under PCI rules, not in your client list. Clients add a card again on their first visit.

Who can run this export

Any team member whose role has the "Can download clients" permission enabled. If you don't see the export option, that permission is switched off for your role.

Before you upload

  • Make sure you exported as CSV rather than Excel.
  • Check that each client has either an email or a phone number — rows with neither can't be imported.
  • Keep the Accepts marketing and Accepts SMS marketing columns — they carry your clients' consent, and you'll want that preserved rather than re-collected.

Last step

Importing into SpaSphere

  1. 1

    Open the importer

    In SpaSphere, go to Settings → Import & Export and choose to import clients.

  2. 2

    Upload your file

    Select the file you exported. SpaSphere reads the column headers and matches them to the right fields automatically.

  3. 3

    Check the column matching

    You'll see how each column was matched before anything is saved. Adjust any that look wrong, then confirm.

You don't need to rename columns before uploading. SpaSphere recognises the common variations — "Mobile Phone", "Cell", "Phone Number" all map to the same field — and shows you the matches before importing.
