How to export your clients from Acuity Scheduling
Acuity has two separate exports, and most people only run the first one. If you use intake forms, you'll want both — here's why.

Step by step
Exporting from Acuity Scheduling

Export your client list
Click Clients, then Import/export, then Export client list. Use the drop-down to select All clients, then click Export clients.
Clients → Import/export → Export client list
Choose All clients rather than one of the recently-booked groups, or you'll leave people out.

Export your appointments too
Click Reports, then Import/Export. Choose your date range, decide whether to include cancelled appointments, and select the intake forms you want included. Then select Export appointments.

This is the only export that carries your intake form answers — your client history lives here, not in the client list.

Watch the intake form filter
If you select an intake form, the export only includes appointments that have that form attached. Run it once without selecting a form if you want everything, then again with forms selected.

Split the Client name column
The client list export puts the full name in a single Client name column. Split it into First Name and Last Name before uploading.
The appointments export already splits them — it has Client first name and Client last name columns.
What comes with your export
- Client name (first and last together in one column)
- Client email address
- Client phone number
- Notes on the client file
- Days since last appointment
What may not come across
- Intake form answers — these come from the appointments export instead, not the client list.
Saved payment cards
Saved payment cards never transfer through a client export — at any platform. Card details are held by payment processors under PCI rules, not in your client list. Clients add a card again on their first visit.
Who can run this export
The account owner can always export. On multi-user accounts, exporting can be enabled or disabled per contributor.
Before you upload
- Split the Client name column into First Name and Last Name.
- Check that each client has either an email or a phone number — rows with neither can't be imported.
- Keep the appointments export somewhere safe even if you don't import it right away — it's the only copy of your intake form answers.
Last step
Importing into SpaSphere

Open the importer
In SpaSphere, go to Settings → Import & Export and choose to import clients.

Upload your file
Select the file you exported. SpaSphere reads the column headers and matches them to the right fields automatically.

Check the column matching
You'll see how each column was matched before anything is saved. Adjust any that look wrong, then confirm.
You don't need to rename columns before uploading. SpaSphere recognises the common variations — "Mobile Phone", "Cell", "Phone Number" all map to the same field — and shows you the matches before importing.
