How to Set Up Your Spa Business Profile in SpaSphere

Configure your business name, address, contact details, and email settings in SpaSphere.

8 min read

Your business profile is the foundation of everything in SpaSphere. It determines the name clients see on your booking site, the contact information on their confirmation emails, and the address that appears on invoices and Google Maps. Getting your profile right from day one ensures a professional, consistent experience across every client touchpoint.

Why This Matters for Your Spa

Accurate business information directly impacts your bottom line. Spas with complete, consistent profiles across all platforms see up to 70% higher trust scores from new clients searching online. A correct address and phone number mean fewer missed calls and walk-ins who actually find your location. Your website name (slug) determines your public booking URL, which is the primary link you share on social media, business cards, and marketing materials. Keeping your email and phone up to date ensures that appointment confirmations and reminders reach you and your clients without delay, reducing no-shows that cost the average spa $85-150 per missed appointment.

Key Capabilities

  • Set your official business name and auto-generated website name (URL slug)
  • Copy your public booking URL in one click to share across marketing channels
  • Update your contact email and phone number for client communications
  • Enter your full business address for maps, directions, and client-facing materials
  • Add a custom message that appears at the bottom of every client email
  • All fields save together in a single action with real-time validation

Configuring Your Business Profile

1

Navigate to Business settings

From the admin dashboard, click Settings in the sidebar and select Business. The Business Information page loads with four collapsible sections: Business Profile, Business Address, Business Hours, and Email Customization.

2

Enter your business name and website name

Expand the Business Profile section. Enter your official business name in the Business Name field. As you type, the Website Name field automatically generates a URL-friendly slug (lowercase, hyphens, no special characters). You can also edit the website name directly. Below the website name, you will see your live public URL in the format https://your-spa-name.myspa.ai. Click the copy icon to copy this URL to your clipboard.

3

Add your contact information

Still within the Business Profile section, enter your Email and Phone number in the contact information area. These details appear on your public booking site, in client emails, and in any communications sent through SpaSphere. Use the email address where you want to receive booking notifications and client inquiries.

4

Enter your business address

Expand the Business Address section. Fill in your Street Address, optional Suite/Unit, City, State, and Postal Code. This address is used for map directions on your public booking site, client-facing communications, and invoices.

5

Customize your email footer message

Expand the Email Customization section. Enter a custom message in the Message for Clients text area. This message appears at the bottom of every client email, including appointment confirmations, reminders, updates, and cancellations. Use it for practical information like parking instructions, gate codes, or preparation tips.

6

Save your changes

Click the Save changes button in the sticky bar at the bottom of the page. SpaSphere validates all required fields (business name, website name, email, phone, and address) before saving. If any required field is missing, you will see a validation error listing exactly what needs to be corrected.

Use your custom email footer to reduce client questions

Adding practical details like "Free parking available behind the building" or "Please arrive 10 minutes early for your first visit" to your email footer saves your front desk from answering the same questions repeatedly. Spas that include arrival instructions in their emails report up to 20% fewer late arrivals and support calls.

Understanding the Website Name

Your website name is the subdomain used for your public booking site. For example, if your website name is serenity-spa, your public URL becomes https://serenity-spa.myspa.ai. This is the link clients use to browse your services, book appointments, and purchase gift cards.

The website name:

  • Converts automatically to lowercase with hyphens (no spaces or special characters)
  • Must be unique across all SpaSphere businesses
  • Is reflected on all client-facing pages and emails

Your booking URL is the link to share everywhere

Use the copy button next to your public URL to quickly grab it for social media bios, email signatures, Google Business Profile, and business cards. A short, memorable website name makes it easy for clients to find and remember your booking page, which can directly increase repeat bookings and referral traffic.
